Sync email correspondence on contact records by connecting to IMAP providers.

Note: This feature is deprecated. Accounts signing after October 2020 will not see this option in their account settings. The Outlook Add-In and Gmail Integration features replaced Email Sync.

A Few Notes on IMAP

  • Once you have connected to IMAP, we will scan your email client and pull 6 months of email history into BenchmarkONE. That email history will show in a contact record's activity feed so you can stay up-to-date on your conversations.

  • Any new emails sent to a contact from your email client will also be included in the the corresponding contact record's activity feed.

  • For new contacts added after the initial connection, BenchmarkONE will pull in emails for the last 30 days only.

  • Verifying Connection: You can verify that email sync with your email client is connected by verifying there is a green check mark next to your email address. If at any time the connection with your email client is disrupted, there will be a red "x" next to your email address. We are not provided feedback of that disruption from your email client. Simply disconnect and reconnect following the same steps outlined above.

Steps to Connect to IMAP

Navigate to Account Settings > My Info > Email Sync. Select the button New Email Account.

In the popup box, select Other. Note that a separate connection is no longer offered for Google accounts. All users will select "other" to connect their accounts.

Next, enter your host, port, email address and email password.

You may need to contact your hosting provider for the correct IMAP host and port information. We have listed a few common hosts below:

Google

Host: imap.gmail.com

Port: 993

** You will need to ensure you have less secure app access turned on for your Gmail account. Without this being enabled, we are unable to successfully connect to your email and you will receive a "Wrong Credentials" error each time you attempt connecting.

Outlook 365

Host: outlook.office365.com

Port: 993

GoDaddy

Port: 993

** If you only see incoming server (POP3), your email plan does not support IMAP. If you see both IMAP and POP3 servers, you should use the IMAP details.

Once you have successfully connected you will be brought back to account settings.

After Connecting to IMAP

After you have connected to to IMAP, head to the Allowed Users tab to identify users who have access to view your IMAP messages within a contact's record. Edit the allowed users by moving them into the “allowed” column. All users will be able to see the subject line, but only allowed users will be able to view the body of the message.

Last, head to the Suppression List tab to block email activity for certain email addresses or domains. This is beneficial for users who want to block all internal activity or suppress company domains.

** Note: This suppression will be specific to the email sync, it will not hide internal activity for things like webpage tracking.
